๐ Manager
Managers have the highest level of access. They can:
- ๐ Control permissions and project settings
- ๐ฅ Manage teams and invite members
- ๐ Manage user permissions, documents within DOCS, and all SCOPE tasks
- โ Only Managers can update a task to the VERIFY status
- ๐ Keep full visibility across Docs, Scope, Verify, and File Manager
๐ Enterprise Flexibility: If you are a Manager on an Enterprise plan, you can also create your own custom roles โ giving you the flexibility to match Plannerly permissions to your companyโs exact workflows.
What this means: Managers keep the project organized, set the rules, and ensure everything is aligned across the team.
โ๏ธ Editor
Editors are hands-on contributors. They can:
- ๐ Collaborate on any section in DOCS or task in SCOPE
- โ๏ธ Edit content, add comments, and assign tasks
- ๐ Update sections from IN PROGRESS to SHARED
- ๐ Manage linking rules, update statuses (with some restrictions compared to Managers)
- ๐ค Typically external team members you want to actively collaborate with
What this means: Editors move the project forward by producing and refining work, while following the framework Managers put in place.
๐ Viewer
Viewers have read-only access with limited interaction. They can:
- ๐ Only see sections within DOCS that are Shared or Published
- ๐ฌ Comment on shared content
- ๐ Reference your projectโs documents and scope (your plan includes UNLIMITED Viewers)
- ๐ซ Cannot edit or manage settings
What this means: Viewers stay informed and can share input without changing project content. Perfect for stakeholders who need visibility but not editing power.
๐ฑ Prospective
Prospective users have the most limited role. They can:
- ๐ Only see content specifically assigned to them
- ๐ซ Cannot edit or manage anything
- โ Useful for external reviewers or team members being onboarded
What this means: Prospective users get a safe preview of Plannerly without full project access.
๐ค How Collaboration Works
Hereโs a quick summary of each (from an earlier article):
- Viewers can only see sections within DOCS that are Shared or Published. Your plan includes UNLIMITED viewers that you can invite to reference your projectโs documents and scope. Viewers can also comment on shared content.
- Editors can collaborate on any section in DOCS or task in SCOPE. Editors can update sections from IN PROGRESS to SHARED and update tasks. Editors are typically external team members that you want to collaborate with.
- Managers can manage user permissions, documents within DOCS, and all SCOPE tasks. Only the manager can update a task to the VERIFY Status.
This layered approach ensures that everyone knows their role and contributes effectively, while the project stays organized and secure.
โจ By tailoring roles, Plannerly makes it easy to scale collaboration โ from small project teams to large multi-company workflows โ without losing clarity or control.
