How to find tasks with no accountable owner in Plannerly

Filter Scope by team to see one team's list, then use the RACI roles filter to list every task with nobody accountable, before the gap becomes a problem.

Contents

TL;DR - In Scope, open Filters, then Teams and tick a team to see its list. To find gaps, open RACI roles, choose Exclude Selected and tick A: what is left are the tasks with nobody accountable.

Good to know - watch in your language: open the YouTube player settings (the gear icon), then under Subtitles/CC choose your language or use Auto-translate. If an auto-dubbed track is available, you can also switch the spoken voice under Audio track.

Who this is for

Everyone on the project who can open Scope, including viewers. Filters change only what you see, not the data.

Why it matters

Every deliverable needs someone accountable, and the ones that do not are hard to spot in a long list. On one project, five teams put the same light fixtures in their models. Gaps found in planning are cheap; gaps found at handover are not.

See one team's list

  1. In Scope, select Filters on the Tools bar.
  2. Open Teams and tick the team, for example Structural.
  3. The grid narrows to the tasks that team is on. A strip of chips under the header shows the filter that is active.
Plannerly Scope Filters panel with the Teams section open and Structural ticked, narrowing the grid to its tasks
Tick a team and the grid narrows to the rows it works on; the chip above shows the filter.

List every task with nobody accountable

  1. Select Clear All to remove the team filter.
  2. Open RACI roles in the same drawer.
  3. Choose Exclude Selected.
  4. Tick A - Accountable.

"Exclude Selected" turns the role filter around: instead of tasks that have an A, you get tasks where nobody holds A. What is left on the grid is every task with no accountable owner.

Exclude A - Accountable: the cells left bright are tasks that still have no accountable owner.

Other checks with the same filter

  • Choose Include Selected and tick None to see tasks with no role of any kind.
  • Under Advanced, Multiple Accountable assignments only lists tasks where more than one team or person is accountable, which is how duplicated work shows up.
  • Under Tasks in the same drawer, Rows without tasks lists rows that nobody has planned at all.
Tip: fix gaps with Quick Assign straight after, then run the filter again to confirm the list is empty.
Why this matters: a clear accountable owner for each piece of information is a core ISO 19650 expectation. Checking for gaps before the work starts is the cheapest time to fix them.

If it doesn't work

I can't see the RACI roles section

It only appears when RACI roles are switched on for the project. Open Settings, then Project and Roles, and turn on Show RACI roles.

The grid is empty after I exclude A

That is good news: every task has an accountable owner. Also check that another filter, such as a team or a milestone, is not still active in the chip strip, and select Clear All if so.

The list still shows tasks that have an A

Check the mode: Include Selected keeps tasks with the role, Exclude Selected removes them. For gaps you want Exclude Selected.

A row I expected is not listed

The filters list tasks. A row with no task at all will not appear under the role filter; use Rows without tasks under Tasks to find those.

Common questions

How do I find tasks with no accountable person in Plannerly?

Open Filters in Scope, then RACI roles, choose Exclude Selected and tick A. The grid shows only tasks where nobody is accountable.

How do I see just one team's deliverables?

Open Filters, then Teams, and tick the team. The grid shows that team's tasks, which is the same set its own information delivery plan (TIDP) would list.

How do I spot duplicated work between teams?

Use RACI roles, then Advanced, then Multiple Accountable assignments only. Tasks where more than one party is accountable are the likely overlaps.

Do filters change the data?

No. Filters only change what you see. Clear them with Clear All.
